1. Who is responsible for your information?
Plot Perfect Studios Ltd is the controller of the personal information it uses to manage its own business enquiries and client relationships.
Plot Perfect Studios Ltd107 Parklands
Coopersale, Essex CM16 7RQ
United Kingdom
Email: info@plotperfectstudios.co.uk
This notice covers our studio website, enquiries sent to us and requests made through our Facebook and Instagram Instant Forms. It does not replace the privacy information for other businesses or separate products linked from our website. When we handle a client's customer data on that client's instructions, the client's privacy information and the relevant service agreement also apply.
2. What information do we receive, and where from?
Website and email enquiries
Our current website contact and free-homepage-concept pages offer email links and QR codes. These open your email application; scanning a QR code or opening an email link does not itself send an enquiry to us. We receive the information you choose to send, such as your name, business name, email address, telephone number, website, project requirements, attachments and subsequent correspondence. Please avoid sending sensitive personal information that is unnecessary for your enquiry.
Facebook and Instagram lead forms
When you submit our homepage-concept form, we receive your business name, contact name, email address, telephone number, website requirement and business town or postcode. You may also provide an existing website URL; that field is optional. Meta may prefill contact fields from your profile, and you can review your answers before submission. We also receive the submission and campaign identifiers and timing that Meta makes available with the lead. Information you provide in later conversations forms part of the enquiry.
Meta collects and handles information through Facebook and Instagram under its own privacy information. Submitting our enquiry form does not subscribe you to separate marketing messages. Our homepage-concept form does not automatically start a Messenger conversation.
Website delivery information
The website is hosted on GitHub Pages. Your browser sends technical information needed to request website files, including your IP address and request information. GitHub states that it logs visitor IP addresses for security purposes. The website also requests fonts from Google Fonts, which necessarily receives connection information, including your IP address, to deliver those files. See the cookies and tracking section below.
3. Why we use information and our lawful bases
We use enquiry information to respond to your request, understand your business and website needs, discuss scope and pricing, arrange a free homepage design concept and manage relevant follow-up. The free offer covers a homepage concept; website development, additional pages and ongoing services are agreed separately.
| Purpose | Lawful basis and scope |
|---|---|
| Responding to business enquiries and maintaining relevant contact records | Legitimate interests: communicating with people who approach the studio, understanding their requirements and managing prospective business relationships. This particularly covers contacts acting for a company or other organisation. |
| Taking requested steps towards a contract with you personally, or delivering your agreed service | Contract: only where processing is necessary for that contract or for steps you ask us to take before entering it. This is not a blanket basis for every business contact. |
| Keeping records required by applicable law | Legal obligation, where a specific accounting, tax or other legal record-keeping duty actually applies. |
| Operating and protecting our website and handling necessary business administration | Legitimate interests: making the website available, protecting the service and managing correspondence appropriately, subject to your rights and interests. |
Providing a concept request is not consent to unrelated advertising, email marketing or sale of your information. We do not sell personal information.
4. Who receives information?
- Plot Perfect Studios Ltd: receives and uses the enquiries you send to discuss the requested services.
- Meta: provides Facebook, Instagram and the Instant Form journey. Its own privacy information also applies to its platform processing.
- GitHub: hosts the public website through GitHub Pages and handles technical requests and security logs.
- Google Fonts: supplies the fonts requested by the current website. This concerns website connection information, not the contents of your email or Meta enquiry.
- Email services: our domain uses the Fasthosts LiveMail platform for incoming email. Email hosting, delivery and applications process messages and their associated contact details to deliver and manage our correspondence.
Access to enquiries is limited to people authorised to handle them. We use these leads for the enquiry requested, without adding them to separate marketing lists, uploading them as advertising audiences or sending their contents to AI tools or a CRM. Any change to these arrangements requires a review of this notice and the applicable privacy requirements first. We may disclose information to competent authorities where required by law or to professional advisers where necessary for legal or accounting matters.
5. How long is information kept, and how is it protected?
Enquiry information needs to be kept long enough to respond, complete the requested discussions and deal with any resulting project or relevant complaint. Client and financial records may need different retention because of the agreed service and applicable record-keeping duties. Our retention rule for unsuccessful enquiries is 12 months after the last meaningful contact. We then delete or anonymise the records we control, unless a legal requirement or an actual dispute justifies keeping a necessary record longer. Client, project and financial records are retained only for the relevant service, contractual and applicable legal requirements. These criteria apply to enquiry emails, exports and copies under our control; we review them when an enquiry closes and at least annually. Providers may separately retain security, technical or backup records under their own terms. A deletion request to us does not automatically delete information held independently by Meta or other providers. We use access restrictions and account protections appropriate to the information and the risks; no internet transmission can be guaranteed completely secure.
6. Cookies, browser storage and advertising measurement
The current public website code uses static pages and local interface scripts. The reviewed scripts do not set first-party cookies, use local storage for visitor profiles, or contain an active Meta Pixel, Google Analytics or Google Tag Manager integration. The on-page article search and category filters work in the browser. The QR codes are local images, rather than a third-party QR tracking service.
This does not mean visiting a website creates no technical records. GitHub Pages processes requests, and the Google Fonts stylesheet requests font files from Google. Your browser may cache website files. Facebook and Instagram have their own cookies, settings and privacy controls when you use those platforms or an in-app browser.
Campaign links may contain UTM parameters that identify the campaign, advert or placement associated with a visit. They should not contain your name, email address, telephone number or other enquiry answers. These parameters do not prove that an enquiry was submitted.
Meta Instant Form submissions are measured within Meta. A dormant Pixel asset in a Meta business account is not evidence that the website is sending events. The current website does not send a website Lead event or Conversions API event for this campaign.
7. International processing
Our website and communications providers operate internationally, so information may be processed outside the UK. GitHub states that it processes information in the United States and other countries and describes standard contractual clauses and its participation in the UK Extension to the EU–US Data Privacy Framework. Other providers describe their international processing and safeguards in their linked privacy information. These provider statements do not mean all processing takes place in the UK. Where we arrange a restricted international transfer, we must use an applicable UK adequacy arrangement or appropriate contractual safeguards and complete the required checks before that transfer. Contact us for information about the arrangements relevant to your enquiry and how to obtain a copy of applicable safeguards, subject to lawful redactions.
8. Your rights and how to contact us
Depending on the circumstances and the basis on which information is used, you may ask to access your personal information, correct inaccuracies, erase it, restrict its use or receive portable information where that right applies. If processing relies on your consent, you can withdraw that consent without affecting processing that was lawful before withdrawal.
Your right to object
You may object to processing based on legitimate interests on grounds relating to your particular situation. You also have the right to object to use of your information for direct marketing. Contact info@plotperfectstudios.co.uk to exercise these rights.
Rights are subject to the conditions and exceptions in data protection law. We may need proportionate information to confirm your identity and locate the relevant records. We will explain our response and any applicable exception rather than promise that every request can be granted in full.
You can raise concerns with us using the email or correspondence address above. You can also complain to the UK Information Commissioner's Office: ico.org.uk/make-a-complaint. Contacting us first is not a condition of your right to complain.
Required information and automated decisions
The form marks the details needed to understand and follow up your request. An existing website URL is optional. You can contact us by email if you prefer not to use Meta's form.
We do not make decisions about your enquiry solely by automated means with legal or similarly significant effects. A person reviews requests. Without the required contact information we may be unable to respond or prepare a suitable concept; the form is voluntary and you can use email instead.
Changes to this notice
We update this notice when our practices change and show the revision date above. We will explain significant changes where required.
